Space is limited and your desired travel dates may not be available if you wait, so book early to avoid disappointment. We highly recommend 2nd and 3rd choices for travel dates and/or accommodations.
Car rental is based on a strict 24 hour consecutive period. The lead person named on the reservation must be the main driver, present at time of rental and payer of any additional charges with a minimum age of 25 years except for Luxury and Prestige vehicle groups which the minimum age is strictly 30 years old. A major credit card in the main driver's name is required for pickup of the vehicle as a car return guarantee. An authorization is obtained on your credit card based on the estimated rental charges; there must be sufficient credit on your card to cover all charges. Additional driver’s fee is charged locally at time of car pickup. All drivers must present a valid USA driver's license held for a minimum of one year at the time of rental. Theft protection is included and additional insurance, such as Collision Damage Waiver and Personal Accident Insurance, is available at time of car pickup and is paid locally. Government tax (VAT) at the rate of 17.5% is included. A Vehicle Licensee Fee (VLF) apply to all rentals and a Location Service Charge will apply to all rentals with pick-up in airport/railway station or some downtown locations which are payable locally upon pick-up. Rentals will be charged an administration fee in case of traffic fines. Rates do not include fuel. All Hertz vehicles are rented with a full tank of fuel and must be returned with full tank of fuel or a local refueling charge will apply. Child seats are available on request from all locations. Luggage racks are currently not offered. Additional charges for one way rentals are based on location restrictions and the vehicle type being rented. Vehicles rented from the United Kingdom may be driven to/from the Isle of Wight, the Orkney Isles and from Northern Ireland to the Republic of Ireland with an extra charge for Premium, Luxury, Special and Automatic Van car groups to be paid locally. Driving to/from the Isle of Man, Guernsey or Jersey is prohibited. For round trip rentals from mainland UK to Continental Europe or Ireland, an additional surcharge will apply which includes RAC Continental Breakdown Coverage to be paid locally. Vehicles can only be driven into E.U. countries: Austria, France, Ireland, Spain, Germany, Luxembourg, Sweden, Denmark, Greece, Netherlands, Finland, Italy, United Kingdom and Portugal as well as Norway and Switzerland.
Final Payment:
Final payment must be made no less than 65 days prior to departure. We accept all major credit cards, with a signed authorization form. Late Bookings:
Subject to availability of space and other conditions, you may book up to 14 days prior to departure, providing full payment is made at time of booking. Late bookings (within 30 days) will incur a handling charge of $50 per booking in addition to overnight delivery charges. Revision Fees:
Any revision to a booking after deposit will require a $35 fee per transaction. No changes will be accepted within 14 days prior to departure or once documents are issued. Changes affecting inventory utilization (i.e. date changes, hotel changes etc.) are considered cancellation and rebooking. Airline tickets are subject to individual airline rules and regulations. Cancellations:
All cancellations must be advised in writing, (mail, fax, email) to BMIT prior to departure during normal business hours (9.00 am to 5.30 pm EST, Monday to Friday). Cancellations are subject to the following penalties on the land portion:
65 or more days $200*
31–65 days 50% of tour cost
15–30 days 75% of tour cost
Less than 15 days 100% of tour cost
* Plus charges of third parties, including airline cancellation charges if applicable.
Airlines and airfares vary in cancellation penalties and BMIT will impose those restrictions and penalties as outlined in the fare rules of the airline ticket booked or purchased.
Documentation:
All tour documentation will be sent out to the travel agent approximately 21 days prior to the departure of the tour, provided full payment has been received. In the event this is not acceptable, we require sufficient notice in order to avoid express shipping charges. If we are not given sufficient notice, the passenger or travel agent will be responsible for express delivery charges. Passport Requirements:
It is the sole responsibility of each passenger to obtain the necessary documents for travel, not excluding passports and visas. A valid passport is normally the only requirement for U.S. citizens. Visa requirements do change without notice and vary by nationality. Please check with the consulate office of the destination country as to visa requirements. Restrictions:
Disabled travelers requiring special attention or treatment on the land portion of any tour must be reported when reservations
are made. Any person who is unable to travel independently or who needs any type of assistance must be accompanied by a companion who is able to provide the required assistance. Children under the age of 10 years cannot travel on motorcoach
tours.
Car Rental Information:
(1) All self-drive cars in Ireland and Britain include unlimited mileage, local taxes, and third party insurance. This means that if you have an accident, the other party is covered. YOU AND YOUR CAR ARE NOT COVERED. This insurance (CDW) IS included in Italy. The driver and passengers in a rental car may choose to take out Personal Accident Insurance (PAI) from Euro 4.50 per day to cover injuries received while driving. A location service charge of Euro 26.00 applies to Ireland rentals.
(2) Loss Damage Waiver and Additional Insurance – You may have purchased LDW/CDW (they mean the same thing) as part of your package. This will cover damage to the rental car. With this purchase you will still have a deductible ranging from Euro 900 to Euro 1600 depending on your rental car. If you have purchased LDW/CDW (included with car rentals in Italy) you do not need to purchase additional insurance unless desired. Additional insurance options will be offered to you and you may decide if you wish to purchase these options.
(3) Britain Surcharges – In Britain a UK £20 surcharge applies to all rentals picked up at airports, ferry ports, and downtown locations. These are payable directly to the car rental company. A road registration fee also applies to all Britain rentals and is payable directly at £0.95p per day.
(4) Fuel Purchase Option – The purchase of gasoline is the hirer’s responsibility and is not included in the rental of the car. Your rental will have a full tank of gas upon pick up and you will be charged for same. If you wish not to exercise this option return the rental with a full tank of gas and a credit will be applied.
(5) Driver’s License and Extra Drivers – Drivers must produce a current driver’s license issued in their state or country of residence without any endorsements and have a minimum of one year’s driving experience. The supplemental charges to cover an additional driver are payable at the start of hire and are as follows: Ireland: Euro 6.00 per day Britain: UK £7.50 per day.
(6) Age Limit – Hirer must be between 23and 79 years of age on most car types. Some car types hold an age limit of 26 to 65. For certain car groups other restric¬tions may apply. Drivers under the age of 25 may incur a charge of UK £11 per day in Britain. Drivers under the age of 25 may need to purchase additional CDW/LDW on car rentals in Ireland.
Bed & Breakfast Accommodation:
Pre-booking of B&B nights prior to leaving the U.S. on programs designed for Open Vouchers may invalidate these vouchers. In some instances, pre-booking may require a credit card guarantee in order to prevent “no shows”. Unused Tour Vouchers:
All unused tour vouchers for hotels, B&B’s, car rental or any other unused service are not exchangeable or refundable by BMIT. Any disputes and/or claims must be received in writing by BMIT no later than 30 days after the end of the tour.
